California Employee and Job Applicant Privacy Notice

Ionis Pharmaceuticals, Inc. and its subsidiaries (collectively “Ionis”) collect certain information in the course of a candidate’s application for employment with Ionis, an employee’s employment with Ionis, and/or a contractor’s work with Ionis. This notice identifies information that Ionis may collect and provides details on how that information may be used.
For employees, job applicants, contractors, and other personnel who are California residents and whose personal information is processed by Ionis in the context of an employment or work relationship, this Notice is also intended to serve as our “notice at collection” under the California Consumer Privacy Act, as amended by the California Privacy Rights Act (collectively, the “CCPA/CPRA”). It describes the categories of personal information we collect, the purposes for which we use that information, the categories of third parties to whom we disclose it, whether we sell or share it, and the rights available to California residents under the CCPA/CPRA.
Types of Information Collected by Ionis
Ionis may collect and maintain several types of information about its job applicants, employees, contractors, and/or other personnel. For California residents, certain information we collect may be considered “sensitive personal information” under the CCPA/CPRA, such as your social security number and other government identifiers, precise geolocation (if collected), racial or ethnic origin, health or disability information, and union membership (if applicable). We use this sensitive personal information only as reasonably necessary and proportionate, for purposes such as payroll and benefits administration, tax reporting, security and integrity, and other purposes permitted under the CCPA/CPRA.
Ionis may or will collect the following categories of personal and sensitive information about you:
1. Identification and Personal Details
- Name, gender, home address, telephone number, email address, date of birth, marital status, employee identification number, and emergency contacts.
- Residency and work permit status, military status, nationality and passport information, driver’s license information, ethnicity, disability status.
- Social security or other taxpayer/government identification number.
- Clothing size (e.g., laboratory coats).
- Photographs and/or video recordings taken at the worksite or at Company-sponsored events.
2. Compensation, Payroll, and Benefits Information
- Payroll information and banking details.
- Wage, compensation, and benefit information.
- Stock/equity participation information.
- Retirement, insurance and other benefits information (including dependents and beneficiaries).
3. Recruitment and Hiring Information
- Information from interviews and phone-screenings, if any, in the hiring process.
- Date of hire, date(s) of promotions(s), work history, technical skills, educational background, professional certifications and registrations, information provided by third-party references, language capabilities, and training records.
4. Employment and Professional Information
- Emergency contact information.
- Records of work absences, including vacation/sick leave time off entitlement and requests and leaves of absence, salary history and expectations, performance appraisals, performance accomplishments, and performance management.
- Separation date and reasons for separation of employment with Ionis.
- Where permitted by law and applicable regulations, Ionis may collect the results of criminal background checks, the results of drug and alcohol testing, health certifications, driver’s license number, vehicle registration and insurance, and driving history.
- Information required for Ionis to comply with laws, regulations, and the requests and directions of law enforcement authorities or court orders (e.g., child support and debt payment information).
5. Monitoring, IT, and Systems Using Information
- Acknowledgements and records regarding Ionis policies and training, including employee handbooks, ethics and/or conflicts of interest policies and computer and other corporate resource usage policies.
- Information captured on security systems, including Closed Circuit Television (“CCTV”) and key card entry systems.
- Voicemails, e-mails, correspondence, documents, and other work product and communications created, stored or transmitted (including time stamps and related access information) using our networks, applications, devices, computers or communications equipment.
- IP address and other device information.
- Letters of offer and acceptance of employment.
Sources of Personal Information
Ionis collects personal and sensitive information from you when you apply for a job, throughout the hiring process, and during your employment, assignment to, and/or work for Ionis. The Company may also collect your personal and sensitive information from other sources and combine it with the personal and sensitive information you provide to Ionis. For example, the Company may collect your personal and sensitive information:
- Directly From You: Ionis collects personal and sensitive information directly from you as part of your employment. For example, information that you give us when you fill out an employment application, employment documents, or enroll in benefits programs. This can also be information that you give us when you interact with services such as the Ionis’ HRIS and timekeeping system, UKG.
- From Third-Party Sources: Ionis receives information about you from third party sources to assist Ionis with employment-related activities and other legal matters. For example, Ionis collects information from pre-employment screening services for the purpose of conducting a background check and/or driving records report following a contingent offer of employment or during your employment (to the extent permitted by law). Examples of the types of information contained in a background check may include your criminal, employment, and educational history. Examples of the types of information contained in a driving record report include your driver’s license status and your driving record history.
- From Other Sources: Job board websites you may use to apply for a job with Ionis; prior employers and recruiters; professional references that you authorize Ionis to contact; contracting, consulting and/or employment agencies and recruiters; your educational institutions; workers’ compensation claim administrators and/or investigators; publicly available sources, including your public social media profile or other publicly-available sources.
Use of Personal Information
Ionis may use the personal information it collects for its business purposes, which may include but are not limited to:
- Supporting and maintaining Ionis’ culture of scientific discovery and innovation.
- Complying with state, federal and other applicable laws requiring employers to maintain
- certain records.
- Effectively processing payroll, including timekeeping, absence, vacation, and leave management.
- Administering and maintaining group health insurance benefits, 401K or retirement plans, and other employee benefits.
- Administering and maintaining employee stock plans.
- Administering and maintaining the Employee Car Fleet Program.
- Complying with legal processes.
- Setting up individual computers and/or telephones and access to company systems.
- Protecting Ionis’ data, information technology systems and infrastructure.
- Issuing a company credit card or fuel card.
- Verifying authorized employment checks.
- Managing hiring and onboarding of employees and performance of job duties.
- Promotional and marketing purposes.
Sharing with Third Parties
Ionis may share or disclose personal information to the following categories of third parties:
- Ionis’ affiliate companies;
- Professional advisors, such as lawyers, immigration advisors, and other outside professional advisors;
- Companies hired to provide services or benefits to Ionis or its employees;
- Third parties where required by law or administrative process; and
- Successor entities in the event of a re-organization, merger, sale, assignment, or disposition of all or any portion of Ionis’ assets.
Note that you might use third-party tools in the course of your employment with Ionis, and any personal information that you share with those third parties will be subject to their privacy policies.
Selling of Personal and Sensitive Information
Ionis DOES NOT sell or share your personal or sensitive information.
Retention of Personal Information1
Ionis establishes records management policies and procedures and provides useful tools to manage, maintain and dispose of business records in an orderly, reasonable and lawful way.
Ionis determines the appropriate retention period for personal information based on the following considerations:
- Supporting and maintaining Ionis’ culture of scientific discovery and innovation.
- Compliance with applicable laws and regulations.
- Identifying and safeguarding critical business records and improving the ability to locate them when needed.
- Reducing the high cost of storing, indexing and handling the vast amount of documents and paper that otherwise accumulate.
- Ensuring Ionis’ electronic mail and computer systems function efficiently and are not burdened with unnecessary amounts of data.
- Preventing the destruction of documents that are subject to litigation or government investigation.
- Storing records containing personal information for no longer than necessary to comply with Ionis requirements or regulatory requirements.
For California residents, Ionis retains each category of personal information described in this Notice for as long as reasonably necessary to fulfill the purposes described above or as required by applicable law.
Security and Confidentiality
Ionis employs appropriate technical and organizational measures designed to protect the integrity, confidentiality, security and availability of your personal information, and to comply with applicable legal requirements for information security. Ionis limits access to internal systems to individuals who need access for a legitimate business purpose pertaining to their role.
Rights and Requests for Information
For California employees and other personnel covered by the CCPA/CPRA, these rights include, at a minimum, the following, subject to applicable exceptions:
- Right to Access/Right to Know,
- Right to Correction,
- Right to Deletion,
- Right to Limit Use and Disclosure of Sensitive Personal Information, and
- Right to Opt Out/Do Not Sell or Share or Object to Processing.
Ionis will provide you access to your personal information, as well as a means to make that data portable, to the extent required by law. You may request correction or deletion of your personal information, except where retention is required in the context of a legal dispute, or as otherwise required by law. Ionis reserves the right to deny requests as permitted by law. If your request for access, correction, deletion or portability is denied, the reason for the denial will be communicated to you.

Updates to This Notice
Ionis may update this Notice from time to time. Any updates will be reflected by revising the “Last Updated” date above. Ionis will post any revised versions of this notice to Ionis’ Privacy Policy.
